The work

Tasks this hire takes

A virtual assistant for startups runs the founder inbox, the CRM and the ops checklist.

The founder still decides the product, the price and the hire.

Two jobs shape a normal week for startups: Triage the founder inbox to the rules you wrote, and update HubSpot before the pipeline meeting. Firms hire for that rhythm, not for an empty inbox.

  • Triage the founder inbox to the rules you wrote

  • Update HubSpot before the pipeline meeting

  • Book customer calls into the right calendar

  • Chase invoices and the monthly close pack

  • Keep the Notion wiki to the folder rules

Triage the founder inbox to the rules you wrote. For startups, that work sits beside Notion and Slack. The principal still makes the call above it.

Update HubSpot before the pipeline meeting. Ask each finalist for startups when they last did this, and whether they did it in Notion and Slack.

The brief for startups should treat this as a standing job: book customer calls into the right calendar. Notion and Slack is where the office checks it.

Chase invoices and the monthly close pack. If the hire has not used Notion and Slack, the first month for startups includes learning it, and the principal still reviews the output.

Keep the Notion wiki to the folder rules. For startups, write down what done looks like, and who is told when it is finished.

Day one

Software in the brief

Name Notion and Slack in the brief for startups when the hire will use it in the first week.

Say whether HubSpot or the CRM you use is required on day one for startups, or taught after the start.

A short task in Stripe for the subscriptions the brief names can be part of the interview for startups, if you want to see the work.

You grant access to Xero for the books a reviewer still checks. For startups, the hire should have that login before week two.

The line

Compliance boundary

The hire does not set strategy, change pricing, or speak for the company on a new offer.

For startups, the interview repeats the boundary above. The hire should be able to say what they will not decide.

Who we introduce

Roles we place

We place a founder assistant, a bookkeeper and an appointment setter.

Three people are introduced for startups. You interview them, and you choose the one who starts.

Pricing

The recruitment fee is USD 2,795, charged once.

USD 350 opens the search. USD 2,445 is due when you select someone.

A monthly markup is a different model. We do not add one.

The first 90 days

  1. 01

Days 1 to 30 for startups are for learning Notion and Slack and the way the office already hands work across.

  2. 02

By day 60 this should be routine for startups: Book customer calls into the right calendar.

  3. 03

The day-90 review asks one question for startups: is “Keep the Notion wiki to the folder rules” happening without you chasing it?

What we ask before we search

  • On the call for startups, we ask who does this today: triage the founder inbox to the rules you wrote.
  • We ask which of these the hire for startups must open on day one: Notion and Slack, HubSpot or the CRM you use, Stripe for the subscriptions the brief names.
  • For startups, we ask you to say the line a new starter must not cross.

Shared hours are written into the brief for startups before anyone is approached.
