The work
Tasks this hire takes
A virtual assistant for construction chases documents, variations and the procurement trail.
The builder still prices, signs and runs the site.
Two jobs shape a normal week for construction: Log RFIs and chase the answer, and file drawings against the current revision. Firms hire for that rhythm, not for an empty inbox.
Log RFIs and chase the answer
File drawings against the current revision
Prep variation paperwork for the builder to sign
Chase subcontractor insurance certificates
Update the procurement sheet the PM owns
Log RFIs and chase the answer. For construction, that work sits beside Procore, Aconex or Simpro. The principal still makes the call above it.
File drawings against the current revision. Ask each finalist for construction when they last did this, and whether they did it in Procore, Aconex or Simpro.
The brief for construction should treat this as a standing job: prep variation paperwork for the builder to sign. Procore, Aconex or Simpro is where the office checks it.
Chase subcontractor insurance certificates. If the hire has not used Procore, Aconex or Simpro, the first month for construction includes learning it, and the principal still reviews the output.
Update the procurement sheet the PM owns. For construction, write down what done looks like, and who is told when it is finished.
Day one
Software in the brief
Name Procore, Aconex or Simpro in the brief for construction when the hire will use it in the first week.
Say whether A drawing register with revision rules is required on day one for construction, or taught after the start.
A short task in Xero or the job-cost sheet can be part of the interview for construction, if you want to see the work.
You grant access to A certificate folder with expiry dates. For construction, the hire should have that login before week two.

The line
Compliance boundary
The hire does not certify work, price a variation, or direct the site.
For construction, the interview repeats the boundary above. The hire should be able to say what they will not decide.

What we ask before we search
- On the call for construction, we ask who does this today: log RFIs and chase the answer.
- We ask which of these the hire for construction must open on day one: Procore, Aconex or Simpro, A drawing register with revision rules, Xero or the job-cost sheet.
- For construction, we ask you to say the line a new starter must not cross.
